How to Move Your WhatsApp Contacts from Another Provider

Bring your WhatsApp number and your opted-in contact list across to ProfilePilot without re-subscribing anyone who unsubscribed.
Step 1: Bring your WhatsApp number across
Your WhatsApp number and approved templates live in your WhatsApp Business Account, which you own, not your old provider.
In ProfilePilot, open WhatsApp Orders and click Connect WhatsApp. Sign in with your own Facebook login and choose your existing WhatsApp Business Account. Your number and approved templates come across with it.
Only one system should send from the number at a time, so switch campaigns off on your old provider before you start sending here.
Step 2: Export your contacts
Your contact list does not move with the number. In your old provider, export your contacts (or your opted-in audience) as a CSV file.
The file needs a phone number column. Keep any status column (for example Subscribed / Unsubscribed or Opted in / Opted out) in the file — ProfilePilot uses it to keep unsubscribed people unsubscribed.
Optional columns ProfilePilot reads: name, consent wording (what the person agreed to) and consent date.
Step 3: Import the file
- Open Marketing → Contacts and click Import CSV.
- Choose your file.
- Under What did these customers agree to?, describe the permission they gave, for example *Agreed to receive promotional messages from us on WhatsApp*. This is used for every row that does not have its own wording.
- If your file has no consent dates, enter the date they agreed (or your best record of it).
- Tick the box to confirm these people agreed to WhatsApp marketing from your business, then click Import contacts.
Only import people who agreed to hear from you. WhatsApp and POPIA both require it, and messaging people who did not agree gets your number reported and restricted.
Step 4: Read the summary
After the import you see:
- Subscribed and ready for campaigns — these people can receive campaigns.
- Marked unsubscribed — rows your file marked unsubscribed, opted out or blocked. They will not receive campaigns.
- Already unsubscribed here, kept unsubscribed — people who unsubscribed in ProfilePilot before. An import never re-subscribes them.
- Rows not imported — for example a missing phone number or a status we could not read. Fix those rows and import the file again; already-imported rows are simply updated.
Step 5: Send a small test first
Sync your Marketing templates on Marketing → Templates, then send a campaign to a small group before your full list.
Customers can still reply STOP at any time and are removed from future campaigns automatically.
