Move your email contacts from Mailchimp, Brevo, SendGrid, Resend, Campaign Monitor, Klaviyo or Kit

ProfilePilot Team | Oct 6, 2026 | 4 min read

Bring your subscribers, lists and unsubscribes into ProfilePilot Email with an API key or an export file. Unsubscribes and bounces stay on your never-mail list.

What comes across

  • Contacts: email address, first and last name, company and phone.
  • Lists: each list (Mailchimp audience or tag, Resend segment, Kit tag) you tick becomes a ProfilePilot list plus a segment with the same name, for example "Mailchimp: Newsletter".
  • Extra fields: up to 20 extra fields. On a paid plan you can send each one to a custom field (existing or new, within your plan's custom field limit) so it works as a merge tag and in segments with its type. Otherwise it is kept on the contact as an attribute you can still segment on.
  • Never-mail people: anyone who unsubscribed, bounced (Mailchimp "cleaned") or marked an email as spam goes onto your never-mail list. They are never emailed, even if they appear in a later import.

People who never subscribed (for example Mailchimp pending, transactional or archived contacts, Klaviyo profiles without email consent, or unconfirmed Kit subscribers) are left out unless you choose to bring them in as contacts you cannot email yet.

Contacts who are already in ProfilePilot are updated, not duplicated. Someone who unsubscribed in ProfilePilot stays unsubscribed even if they are subscribed in the old platform. A value that does not fit a custom field's type (for example text in a number field) is skipped and counted in the results; the contact is still imported.

API key or export file

API key (recommended). ProfilePilot reads your contacts, lists and suppressions directly. Create a key with read access only where the platform allows it:

  • Mailchimp: Profile → Extras → API keys → Create A Key. Copy the whole key, including the ending such as -us21 (it tells us which Mailchimp server holds your account).
  • Brevo: SMTP & API → API keys (starts with xkeysib-).
  • SendGrid: Settings → API Keys, with read access to Marketing and Suppressions (starts with SG.). SendGrid prepares a file first, which can take a few minutes.
  • Resend: API Keys, Full access (read-only keys cannot list contacts).
  • Campaign Monitor: Account settings → API keys. Add the client ID only for a client key or one client of an agency account.
  • Klaviyo: Settings → API keys → Private key with read access to Profiles and Lists (starts with pk_).
  • Kit: Settings → Developer → API keys (v4).

The key is used only to read. It is stored encrypted while the import runs and deleted the moment it finishes, fails or is cancelled. Revoke it in the old platform afterwards.

Export file. Download a CSV from the old platform and upload it. ProfilePilot recognises each platform's column names and fills in the matching for you; check it before you continue. Import unsubscribe, bounce and spam files as "People you must not email". Mailchimp's audience export holds separate subscribed, unsubscribed and cleaned files: upload the subscribed file as contacts, then the other two. ProfilePilot recognises the unsubscribed and cleaned files and puts everyone in them on your never-mail list.

Plan limits

On the Free plan you can have up to 2,000 subscribed contacts. If an import is bigger than the room you have left, ProfilePilot warns you first. You can upgrade, or import up to your limit; the rest are listed as left out in the results. Paid plans warn when an import takes you past the contacts included in your plan. Custom fields are on paid plans (Starter 25, Growth 50, Pro 100, Enterprise unlimited); on Free, extra fields are kept as contact attributes.

Results

When the import finishes you see how many contacts were read, created, updated and subscribed, how many went onto the never-mail list, how many addresses were invalid or duplicated, and how many custom field values were saved or skipped. Large accounts can take a while: keep the page open. If you close it, open the page again and choose Resume.

Quick Tasks

  • ✓Open Email → All Contacts → Migrate from another platform
  • ✓Pick your current platform and connect with a read-only API key, or upload its export file
  • ✓Tick the lists to bring across and the extra fields to keep
  • ✓Confirm how your contacts agreed to hear from you
  • ✓Keep the page open until the import finishes, then revoke the API key
