Learn Combined Export vs Template Studio, then walk through themes, chapters (incl. Social Inbox Deep Dive, Insights, WhatsApp), co-branding, and background PDF jobs.

Step 1: Know the difference — Combined Export vs Template Studio

Combined Export and Template Studio sit next to each other under Reports, but they do different jobs.

You generate real client PDFs from Combined Export. Template Studio does not replace the export queue — it lets admins and agency white-label orgs check how Modern vs Corporate Ledger and co-brand lockups look before (or while) configuring Combined Export.

Theme (Modern / Ledger) on Combined Export is available to everyone and now flows into the merged PDF. Custom co-brand / agency logo follows the same Agency Partner white-label path as custom domain (upgrade via `/partners` when locked).

Step 2: Understand the document chapters

Combined Export merges the chapters you select into one PDF (order preserved):

  1. Executive Summary & AI C-Suite Briefing — Total Digital Reach, High-Intent Actions, Omnichannel Engagement, Reputation & Governance, plus AI narrative chips (Reach / Conv Rate / SLA).
  2. Cross-Channel Footfall & Location Performance — GBP + Meta location metrics and store matrix.
  3. Reputation & Sentiment Health — rating, reply SLA, net sentiment, topic pillars (including Delivery), staff mentions, and a compact Social Engagement strip for FB/IG comments.
  4. Network Listing Accuracy & Health Matrix (optional) — profile accuracy, Hours/NAP desyncs, triage.
  5. Social Inbox Deep Dive (optional) — actionable Facebook/Instagram comment scorecard: volume, response rate, business-hours SLA, sentiment, and an actionable stream sample.

Actionable social denominator: Social rate/SLA in reports count only comments that need a reply (negative sentiment, critical / inquiry / stock triage tags, or Auto-Mod flagged). Praise and spam stay in volume/sentiment but do not deflate the rate.

Replies in ProfilePilot or on-channel: A comment counts as replied if staff answered in ProfilePilot or the page replied on Facebook/Instagram (once synced).

Product chapters (when entitled): Insights Platform Briefing (live Ads+GA4 Overview), WhatsApp Orders, WhatsApp Marketing.

Single-report pages (Executive, Locations, Reputation, Accuracy) still offer their own Download PDF / CSV. Combined jobs pass your chosen theme and co-brand into each chapter so the download matches the canvas.

Step 3: Open Combined Export on desktop

  1. Sign in and confirm the Organisation Selector shows the client org you intend to report on (admins: wrong org = wrong accounts and metrics).
  2. Open Reports in the sidebar — that lands on Combined Export.
  3. Use a desktop browser. On mobile, the builder shows a desktop-recommended notice and limits editing; download completed jobs from Recent Background Jobs if needed.

Individual report tabs (Executive / Locations / Reputation / Accuracy) remain available for deep-dive screens and CSV exports.

Step 4: Set period and account scope

In the Combined Export sticky bar:

  1. Choose cadence — weekly, monthly, quarterly, or custom day range.
  2. Optionally select an account. When only one in-scope account exists, the picker may auto-select it (All accounts stays hidden in that case).
  3. Confirm the period summary matches the window you want stakeholders to see.

All selected chapters use the same period and account for the background job.

Step 5: Choose theme and co-brand (document tools)

Theme

  • Modern Minimalist — rounded KPI cards, soft brand-colour accents, gradient briefing panel.
  • Corporate Ledger — boxed tabular layout, squared corners, slate mono accents (no soft gradients).

Switching theme updates the live canvas immediately and applies to the real merged PDF when you generate.

Co-brand

  • On (when entitled) — agency + organisation lockup from white-label branding.
  • Off / locked — ProfilePilot lockup. Unlock via Agency Partner / custom domain path (`/partners`).

Step 6: Select and reorder chapters

  1. Tick the chapters you need — include Social Inbox Deep Dive when stakeholders want FB/IG comment health alongside reviews.
  2. Use ▲▼ to set merge order (canvas and PDF follow the same order).
  3. At least one chapter is required.
  4. Product chapters (Insights / WhatsApp) appear when the org plan entitles them; admins can preview all.

Reviews topic tags tip: On Reviews Hub or a location Reviews card, use Topic tags (Service, Price, Cleanliness, Wait Time, Product Quality, Delivery) when a review paraphrases a theme without hitting keywords — those tags feed Reputation Deep Dive pillars.

Step 7: Generate in Background and download

  1. Click Generate in Background.
  2. Watch Recent Background Jobs — queued → running → completed or partial.
  3. Download the merged PDF, or Retry / Cancel / Delete as needed.
  4. You also get an email with a download link when the job finishes.

Partial jobs mean one or more chapters failed; remaining chapters are still downloadable. Check the job error notes, fix scope/auth if needed, and Retry.

Step 8: Admins — Template Studio stub

  1. From Combined Export, open Template Studio (or go to `/dashboard/reports/templates`).
  2. The full print studio (page thumbnails, crop & bleed, template library) is not shipped — this surface is an admin stub for branding previews.
  3. Use Combined Export for live client packs.
  4. Return to Combined Export to generate the live PDF with the same theme for your real period and account.
