WhatsApp Commerce Orders

Step-by-step: enable WhatsApp ordering, take payments, run the kitchen queue, and send receipts.

1. Turn on WhatsApp Commerce

  1. Sign in and select the organisation in the Organisation Selector.
  2. Go to Settings → Billing and enable the WhatsApp Commerce add-on ($49/month), or ask an admin to enable WA Commerce on Admin → Organizations.
  3. Admins can still open WhatsApp Orders without the add-on.
  4. Open WhatsApp Orders in the sidebar (or /dashboard/whatsapp/orders).

Connect your WhatsApp number

WhatsApp Commerce on ProfilePilot is billing only. It does not create a WhatsApp account at Meta.

  1. Open WhatsApp Orders and click Connect WhatsApp.
  2. Create a new WhatsApp Business Account or attach one you already own.
  3. No number? Use an unused local SIM or landline that can receive SMS/voice OTP, or choose Meta\u2019s 555 number if the popup offers use a display name only. 555 is a US +1 number Meta issues for WhatsApp. ProfilePilot does not resell country WhatsApp numbers. Finish Connect in ProfilePilot so we register Cloud API (Meta 90-day window). Display-name review can take 24 hours.
  4. Approve Utility templates on that WABA: order_confirmed, ready_for_pick_up, your_order_is_en_route (English en).

2. Save kitchen and invoice details

Receipts use the organisation, not the WhatsApp profile.

  1. Go to Admin → Organizations and Edit the org.
  2. Set physical address (line 1/2, suburb, city, postal code) — this is the kitchen pickup address.
  3. Set billing email and VAT number.
  4. Optional: add a PNG logo on the store locator widget so receipts show a brand mark (SVG logos are skipped on PDFs).

3. Configure Payments

On WhatsApp Orders open the Payments tab. Use this organisation’s gateway keys, not ProfilePilot platform billing keys.

  1. Enable PayFast, Paystack, Stripe, and/or PayPal and paste merchant credentials. Copy the webhook URL shown on each card into that gateway’s dashboard.
  2. Cash on collection is always offered for collection. Delivery cannot use cash.
  3. Turn on Uber Direct and/or Own vehicle independently. If both are on, the customer chooses Uber or Our driver.
  4. Own vehicle fee: free, fixed rand, or per km (Google driving distance). Enter kitchen lat/lng for per-km.
  5. Under New order alerts, add kitchen emails and optional staff WhatsApp numbers (Utility template new_order_kitchen when they are outside a customer chat window).

4. Build the menu

  1. Open the Menu tab.
  2. Add products with name, price, optional photo, and notice days (default 2).
  3. Toggle availability when an item is sold out.

5. How a customer orders on WhatsApp

  1. The customer messages the business WhatsApp number linked to this org.
  2. They tap See menu, add items, then Collection or Delivery.
  3. If they have no saved name, the bot asks once: What name should we put on the order?
  4. They pick a date (respecting notice days).
  5. For delivery with a saved address: Deliver to …? Yes or Change.
  6. They pay (card link or cash on collection). After a paid or confirmed COD order they can tap Order again.

6. Run the kitchen

Kitchen orgs: Menu tab. Retail/grocery: Catalog tab — switch to Retail catalog, import Merchant Centre CSV/XML (id, title, price, image_link) or HTTPS feed. Customers search or pick a category. Wholesale numbers can text RESTOCK.

7. Receipts

After PayFast (and other card) success, a receipt is sent in-window automatically. Kitchen can also tap Send receipt on Queue, History, or Finance.

The PDF includes the organisation logo, physical address, billing email, VAT number, customer name, WhatsApp number, delivery address (for delivery orders), line items, food, delivery fee, and total.

8. WhatsApp Manager templates

Approve these Utility templates in English (en), not English (US):

  • order_confirmed — paid confirmation after the 24-hour window
  • ready_for_pick_up — collection ready
  • your_order_is_en_route — delivery dispatched. Body: name, short order ref, estimated delivery. Track order URL: https://profilepilotapp.com/whatsapp/order/{{1}} with example UUID 11111111-1111-1111-1111-111111111111.
  • new_order_kitchen — optional staff new-order WhatsApp

Location headers on the en-route template are optional. You can omit the map to keep setup simple.
